Bus Aide Instructions
Your duties and service standards on a school bus
Version 1.0 · 29 September 2026These instructions are for every bus aide working on a Plum Oak school bus. They follow the Public Transport Authority’s expectations for bus aides. A copy is kept on the bus. Drivers should read them too, so you both know who does what.
Clearances you must hold
- A National Police Clearance on employment.
- A Working with Children card.
- A current Senior First Aid certificate (St John Ambulance or equivalent).
Tell us straight away if you stop holding any of these, or if you are charged with or convicted of any offence involving sexual abuse of or indecent dealing with a child, or any offence involving violence.
As a bus aide you must
- Manage the behaviour of the students you are responsible for, so everyone travels safely.
- Make sure each student is safely handed over to their parent, carer or school staff.
- Secure students who use a wheelchair, harness or restraint correctly before the bus moves.
- Look after students’ individual needs, and let the driver know about things like heating or cooling.
- Be positive, caring and supportive. Chat with students during the trip where you can.
- Keep the Student Attendance Register for every Education Support student, every run.
- Get to know parents and carers so you understand each student’s needs, and follow each student’s Medical Action Plan or Integrated Care Plan.
- Give first aid when needed and help in an emergency.
- Work together with the driver and follow the bus Emergency Plan and EPGs.
- Keep good hygiene and a neat, clean appearance, with shoes or boots.
You must not
- Use profane or obscene language where students can hear.
- Smoke or vape on the bus, with or without passengers.
- Have any alcohol in your blood at work, or drink during working hours.
- Be affected by any drug. If you need a medication that could affect you, give us a medical certificate saying it will not affect your duties.
Child check
Approved passengers
- Every student needs PTA Transport Assistance approval (schoolbuses.wa.gov.au). If a student who is not approved turns up, they still travel. Tell the driver and the office so it can be followed up.
- No adult travels without approval. Refer any request to the office.
Hazards and incidents
- Report any hazard you cannot fix yourself to the office.
- Report every incident, injury and behaviour breach. Complete the incident report with the driver, using the Driver Portal incident form.
- In an emergency follow the driver’s lead and the Emergency Plan on the bus. Ring 000 first if anyone is hurt.
